Agile Workspace for a Leading Global Insurance Firm

Enhancing team experience and office culture through the deployment of agile workspaces

Following a period of growth and company acquisitions, a leading insurance firm found it had teams working in different buildings in different parts of London. GCL were engaged in a long-term project, spanning 24 months, to support its team and office consolidation. The goal was to reorganise where teams and departments were located in order to physically seat the right teams together.

Requirements

GCL’s client required an internal relocation of its teams across its London office buildings. As a result of the acquisitions it had made, not all teams could sit on the same network. This meant that the relocation had to be strategically planned to ensure minimal downtime and that teams had access to the right networks.

Over 24 months GCL have worked with this client to remove and replace networking infrastructure and devices as the company have relocated, acquired and consolidated teams across almost 100 buildings. Solutions

As the offices were in use Monday through Friday, GCL engineers planned to disconnect and reconnected all existing equipment and devices over the course of the weekend.

In order to make this a seamless process, GCL drew up a desk plan that had to include which employee desks were moving, the equipment that was to move and the preferred desk set up for each individual. For example, whether the phone was on the left- or right-hand side of the desk and the preferred set-up of multiple monitors.

As a result of the acquisitions, cabling had to connect the correct individuals within departments to the appropriate network. Although teams were now operating from the same building and office, the separation between network access was still required.

GCL reconfigured the floorplan, relocating floor grommets followed by reinstalling desks and equipment. On Monday, when employees returned to work, those who had moved went to their new building where their desk set up was just as they had left it on Friday in an entirely different building altogether.
